Customer Service Officer, Specialty Pharma | Paris-Based
We are partnering with a growing specialty pharmaceutical company to recruit a Customer Service Officer to join their European commercial operations team.
The Role
You will be the primary point of contact for a defined portfolio of customers, owning the full Order-to-Cash cycle from order entry through to invoicing and payment collection. You'll work cross-functionally with Sales, Supply, Quality, Logistics, and Finance to ensure seamless service delivery and a high standard of customer experience.
Key Responsibilities
- Manage end-to-end order processing: receipt, review, entry, confirmation, backorder management, and proactive status updates
- Anticipate delivery risks and communicate mitigation options to customers ahead of time
- Coordinate with logistics teams, warehouse/4PL providers, and carriers, including temperature-controlled shipments
- Support invoicing, credit note processing, and assist Finance with overdue follow-up
- Record, coordinate, and resolve customer complaints in line with Quality and regulatory requirements
- Maintain customer master data and ensure full document traceability
- Contribute to continuous improvement initiatives and ERP/CRM testing (UAT)
- Participate in key account business review meetings
Requirements
- Minimum 3 years' experience in a customer service role, ideally (not necessary) within pharma or a regulated environment
- Solid understanding of GDP/GMP regulations and batch traceability
- Hands-on experience with SAP and CRM systems
- Strong English and French; a second European language is a plus (Dutch, German, Polish, Spanish, Swedish, Portuguese, or Italian)
- Highly organised, rigorous, and proactive with a strong problem-solving mindset
